Privacy Policy

VYAN AI is a decision intelligence company headquartered at 6200 Stoneridge Mall Drive, 3rd Floor, Pleasanton, CA 94588, USA. References to “we,” “us,” and “our” in this policy mean VYAN AI and our wholly-owned subsidiaries. Contact for any privacy question: privacy@vyan.ai (or hello@vyan.ai during early-stage operations).

We collect personal information in three ways. First, information you give us directly: when you submit a form on this site (the Points of View gate, the The Field / The Platform access request, webinar registration, contact us), we collect the fields you fill in — typically first name, last name, work email, phone, title, company, country, and any free-text you choose to add.

Second, information collected automatically when you visit the site: your IP address, browser type and version, device type, referring URL, pages visited, and timestamps. This information is captured by our web server logs and by the cookies described in the separate Cookie Notice.

Third, information we receive from third parties — for example, if you arrive from a LinkedIn ad, we may receive a click identifier; if you connect through a partner, we may receive your contact details from them in accordance with their own privacy policy.

We use the information we collect to:

• Validate that a request for gated content (such as our Points of View, The Field, or The Platform) comes from a legitimate work address and a real organisation, before granting access.
• Communicate with you about the resource you requested, send the verification code or access link, and follow up about your interest.
• Send relevant updates about VYAN AI products, research, and events to people who have expressed interest — you can opt out of marketing email at any time via the unsubscribe link.
• Operate, maintain, secure, and improve the website — including detecting and preventing fraud, spam, and abuse.
• Comply with our legal obligations, respond to lawful requests, and protect our rights and the rights of our users.

Where the GDPR or UK GDPR applies, our legal bases for processing are: (a) your consent, which you give when you submit a form and which you can withdraw at any time; (b) our legitimate interest in operating the website, securing it, and pursuing a business relationship with prospects who have expressed interest; (c) performance of a contract or pre-contractual steps when you ask us for information about our products; and (d) compliance with legal obligations. Where we rely on consent, you can withdraw it at any time without affecting prior lawful processing.

We do not sell personal information. We share it only with:

• Service providers acting on our behalf — for example, our email delivery provider (Microsoft 365 / Office365), our hosting provider (Amazon Web Services), and our analytics provider. They are contractually bound to use the information only to perform services for us.
• Professional advisors (lawyers, accountants, auditors) under confidentiality obligations.
• Authorities when required by law, court order, or to protect our rights, property, and safety, or those of our users or the public.
• A successor entity in the event of a merger, acquisition, or sale of all or substantially all of our assets, subject to the same protections described in this policy.

Our primary hosting region is AWS us-west-1 (United States). Email is processed through Microsoft 365. If you are visiting from outside the United States, your information will be transferred to, stored in, and processed in the United States and potentially other jurisdictions where our service providers operate. Where required, we rely on appropriate transfer mechanisms such as the EU Commission's Standard Contractual Clauses or the UK International Data Transfer Addendum.

We keep form submissions for as long as we have an active relationship with you or a reasonable basis to follow up — typically up to thirty-six months from the last interaction — after which we delete or anonymise the record. We keep server logs for ninety days for security and audit purposes. We will keep information longer where required by law (for example, tax or accounting records).

Depending on where you live, you may have the right to: access the personal information we hold about you; correct inaccuracies; request deletion; object to or restrict certain processing; receive a portable copy of your information; withdraw consent; and opt out of the “sale” or “sharing” of personal information (we do not sell or share for cross-context behavioural advertising, but you may still exercise this right). To exercise any of these rights, write to privacy@vyan.ai. We will respond within the timeframes required by applicable law. If you are in California, you also have the right not to receive discriminatory treatment for exercising your rights, and the right to designate an authorised agent to make a request on your behalf.

We use industry-standard administrative, technical, and physical safeguards to protect personal information — including TLS in transit, encrypted-at-rest storage for the access-request log, role-based access controls for our team, and prompt patching of the underlying infrastructure. No method of transmission over the Internet or method of electronic storage is fully secure; we cannot guarantee absolute security.

The website is not directed to children under the age of sixteen, and we do not knowingly collect personal information from them. If you believe a child has provided personal information to us, please contact privacy@vyan.ai and we will delete it.

We may update this policy from time to time. If we make material changes, we will post the updated policy on this page and update the “Effective date” at the top. We encourage you to check back periodically.
